CHELSEA TEE TIME SYSTEM INFORMATION

Tee time requests can be made using the Chelsea call-in system up until midnight on the Tuesday immediately prior to the State Day in question.
On Wednesday morning (7 am to Noon) immediately prior to the State Day in question, placement will be run (tee times assigned). You will not be able to access the Chelsea system while placement is being run. Please do not try to access Chelsea Tee Times using the link on the VSWGA website during this time.
Immediately after placement is run, the tee times will be posted to the Chelsea website. Click on the Chelsea Tee Time Link on the home page or on this page of the VSWGA website (www.vswga.org).
From Wednesday after Noon until Friday 7:00 am immediately prior to the State Day in question, any tee time bookings, changes, additions or cancellations should be made using the Chelsea system and selection options #5 or #6.
At 7:00am on the Friday immediately prior to the State Day in question, the Chelsea System closes for that particular State Day.
Any changes, cancellations or additions must be made by calling the club rep/pro shop (whichever number is listed in the tournament schedule of the VSWGA Book or on the course page of this website)
Please do not call the club rep/pro shop until Saturday after 8:00am to make any changes, additions or cancellations.

A. Start up date is May 1, 2008 (nothing before this date will be registered).

B. To gain access to the Chelsea system through the Internet, you will be required to login with your 7-digit Ghin Handicap number (including all leading zeros) and your Internet password. If your Ghin number is a six-digit number, you will need to put a zero in front of the number. For example, if your number is 123-456, then you would enter 0123456. If your number is 123-4567, then you would enter 1234567. Your initial Chelsea internet password is “1234” until you change it. To change it, enter a unique password on your profile page. If your email address is missing, you can enter it at this time. The unique password will prevent unauthorized access to your account. The email address will allow the system to email to you any requests or bookings, made or cancelled, where you were one of the golfers on the team. The system will also be able to email to you the actual course and time you received during the placement process each Wednesday.

C. Members will be able to state a first and second preference from a selection of three to five courses on a State Day.

D. Members will be able to specify the general number of minutes they are from south courses, the north courses and central courses of the state through the Internet. This will adjust the time you want when we place your request. For example, let’s say that you had specified that you are 25 minutes from the south courses, 0 minutes from central courses and 50 minutes from north courses. Let’s also say that you made an 8 AM request where the primary course was located in the South and your secondary course was located in the North. Consequently, when Chelsea tries to place the request at the southern course, it will adjust the preferred time to 8:25 AM. If no times were available at the South course, Chelsea will adjust the preferred time to 8:50 AM when trying to place your request at the northern course. ALL MEMBER’S LOCATION MINUTES WILL BE INITIALLY SET TO “0” MINUTES.

E. There is no link of foursomes with another foursome.

F. Cart request will be Y, N, or C (C means there are limited carts available and that you will have to call the club to request the cart after placement on Wednesday)

USING THE CHELSEA TEE TIME PHONE SYSTEM

TO REQUEST A TEE TIME

You will hear the VSWGA welcome message and, at times, other pertinent information.
You will be given these options:

Press 1 to make at tee time request.
Press 2 to review assigned tee times.
Press 3 to cancel a request (prior to placement).
Press 4 to edit a request (edit tee time, course or change players - prior to placement).
Press 5 to make a tee time booking (to book tee times after placement).
Press 6 to edit a tee time booking (after placement).
Press 7 to review (or edit) your personal name greeting.

You will be askied to enter the date you wish to play. Enter six digits. For example July 11, 2006 = 071106.
You will be asked to enter your first course selection by entering 1, 2, or 3 with the name of the course stated after each number. You will have an option to make just one course selection or request backup courses if your first or second course selections are filled.
Enter the number of players in your group (have all players' GHIN numbers ready). Up to four players may be entered. You are the "captain" as the caller. The system will ask you to speak your name as the system plays back names instead of GHIN numbers when giving confirmations. You have to do this just once. IMPORTANT: if you have two leading zeros in your GHIN number, drop one zero.
Chelsea asks if you want a cart. Press 1 for yes, press 2 for no. If there is a shortage of carts at a particular course, you will be advised so in the opening greeting. It is up to you to check if you received a cart in the lottery (view website after placement on Wednesday after 9:00am or call rep/pro shop after Friday 2pm).
Enter four digits for the time you wish to play (9:30 am = 0930). Chelsea asks if you want to set the earliest and latest time parameter (to play within a certain time frame). The greater the time parameters you give, the better chance you have of being placed.
Request information will be played back to you. Press 1 to accept or 2 to reject.
You will be told that a tee time REQUEST has been accepted and your confirmation number will be given to you. Please note your confirmation number as you will need it if you wish to make changes or cancel. Press 1 to hear your confirmation number again; press 2 to link to another group; press 8 to return to the main menu, or press 9 to exit.
TO CONFIRM A TEE TIME, enter your GHIN number. Chelsea will play back all assigned tee times for you and your playing partners.
TO CANCEL A TEE TIME, enter the date of your original request or the 5-digit confirmation number. Press 1 to delete or press 2 to keep.

HOW CHELSEA POINTS WILL BE ACCRUED

A. All member’s play points were reset to 0 when the new system was installed in 2007.

B. Each course will be assigned a variable point value ranging from 1 to 3 points. For example, the Dorset course is assigned 1 point, Lake Morey course is assigned 2 points, and all 9-hole courses are assigned 3 points.

C. The total points accumulated of each player in your request will be totaled together and divided by the number of players in your request to determine a team average. Those requests with a higher team average than yours will be placed before you. Those requests with a lower team average than yours will be placed after you. Requests that had the same team average are placed based on the smallest random number assigned to each request during the placement process.

D. Three and four player requests are placed before one and two player requests.
