VSWGA Board Meeting Minutes
VERMONT STATE WOMEN'S GOLF ASSOCIATION

The meeting was called to order by the President, Elizabeth Walker.
Treasurer's Report: Jeanne DiBattisto submitted a copy of the August 9, 2004 Balance Sheet, it was accepted. The VSWGA has not been billed by the Quechee Resort for the Final (Awards) State Day Luncheon Cost of $4,052.97 they have been contacted and are researching the problem. The Lake Morey Inn did not send an invoice for the May 4, 2004 spring meets. Jeanne called and they informed her it could be considered as gratis. The junior girl’s tournament sustained a $200. loss for which a motion was passed to cover the expenses. The Junior Program chairperson misplaced a check and a stop payment for $20. was issued. This program requires extensive hours from the chairperson and as gratis the board made a motion to absorb the cost.
Jeanne is having a difficult time in obtaining Liability Insurance for the VSWGA board, the companies are interested until they find we have a junior girl’s program where adults work with children.
President's Report: Elizabeth Walker reported there would be no formal agenda for this meeting. She stressed the importance of hiring a Director, due to modernization multiple board positions have gone beyond volunteer and should be stabilized with a full time director position. This paid position would be equivalent to the VGA slot held by Jim Bassett. The current treasury income cannot support a director’s salary. This action will require a financial increase to be made. The Director Position must have an enumeration vote at the fall meeting, if passed, an outline for the job description and salary will be prepared and Jim Bassett will be contacted for a copy of his job description.
Junior Golf: The State Day closest to the pin contests have raised $532.50. It has been brought to the boards attention that money cannot be awarded. A VSWGA gift certificate will be sent to the winners.
Web Site Report: Cindy Paquet has done an excellent job on the VSWGA web page. She has posted all of the Tournament pairings, Current News, Chelsea tee times, Lodging information, Tournament results and much more. Cindy has spent more than 125 hours working on the web page yet her stipend is only $500., It has been agreed that there must be some type of increase made.
Handicap Chair: Pat Job will be resigning her position in January and a vacancy announcement will be advertised via the internet. In the interim Harriet Parot will be going to New Jersey for training on the handicap system.
Margaret Dick will continue with the ratings but does not want the task of being the coordinator.
State Day Related: Sue Ming requested her stipend of $1,500. be used to extend Marie Tucker’s intern position. A motion was made too increased the stipend to $1,550. which would cover one complete month’s salary. The motion passed.
The VSWGA Intern is not a permanent position, it is paid from an annual Grant for which a request application must be completed and approved each year.
Cheryl Hoar made a motion that the State Day Application Form should be changed. The winter address section could be eliminated (all members have their mail forwarded) and replaced with the Fees information and due dates which is currently found on another page. The motion passed. It was recommended the fees for applications postmarked after March15, 2005 be increased from $35. to $50. All current members will be mailed an applicant.
A motion was made to increase State Day Fees from $15. ($14. to host club $1. to VSWGA) to $20. ($16. to host club $4. to VSWGA). It has become increasingly difficult to find host clubs and the VSWGA fee of $1. has not been increased in many years, if we want modernization and a junior program it is vital this increase is passed at the Fall Meeting.
Other Business: A motion has been made to eliminate the Handicap Representative Position and combine that position with the Club Representative. Each club is entitled to two votes at the Fall Meeting, if these two positions are combined who will cast the second club vote? This question will be addressed during the next meeting.
A motion was made for the Regional Affairs Committee Position to be delegated too past board presidents, motion passed.
An advertisement will be placed on the internet for anyone interested in serving on the VSWGA Board.
The next scheduled board meeting will be Tuesday, 09/21/04, immediately following The Quechee Final State Day Luncheon.
A second meeting is scheduled two weeks later on Tuesday, 10/05/04.
